Messages to exactly the crew members it concerns

Communication at an event is rarely for everyone. It is for the bar, for the build crew, or for the people who have a shift tomorrow morning. The recipients are chosen in the system, not in a group chat.

Choose the recipients, the system finds them

A message can be sent to one person, a team, a team group, a user type, everyone at the event, or everyone who matches the search you are in. Every message sits in the crew portal and also goes out as email, so it does not only exist in one place.

How the messages are sent

  • Target the recipients: person, team, team group, user type, everyone, or everyone matching a search on the crew list.
  • Always as email too: the message sits in the portal and is sent to the recipients' inbox at the same time.
  • Scheduled sending: write the message when you have time, and set it to go out at the right moment.
  • SMS where it is urgent: a message can be sent as SMS if the role is allowed to. SMS is billed per message sent.
  • Replies back: the recipients can reply to the message, and you choose whether the reply goes to everyone or only to the sender.
  • News and FAQ: news posts can be targeted at teams, team groups or user types with optional email, and the FAQ can be written per user type.

What the system sends without being asked

A large part of the communication at an event is the same every year. It can be set up as automation and written in your own words.

SMS reminder before the shift

Per schedule you can set an automatic SMS that goes out 30 minutes, 45 minutes, 1 hour, 2 hours or 1 day before the shift starts.

Automatic emails in the flow

On registration, waiting list, withdrawal and invitation. And as an option, when a shift is assigned, when someone is moved to a team, when a schedule is published, and when a shift swap is offered.

Your own email templates

The templates are written per language and per user type, with your own sender name and your own sender address. Volunteers, contractors and artists do not have to get the same email.

SMS log

Every SMS sent sits in a log with its status, so you can see what was sent to whom and when.

Email report with opens

The report shows how many people opened a mail-out. The numbers come from Mandrill, which handles the sending.

Files for the teams

File handling has folders per team, so instructions, schedules and maps sit where the team can find them, instead of in an attachment.

Crewstack does not send push notifications, and there is no read receipt on messages. The SMS log shows delivery status, and the email report shows opens.
