Team leads can work independently without seeing the whole event
Crew members hand over their name, phone number, date of birth and sometimes more. That puts demands on who can see what, who can change what, and what happens to the information afterwards.
Access per role, per team and per field
Crewstack has four roles: crew member, guest list manager, administrator and super administrator. On top of that come team lead and team group lead, which follow from which teams the person is on. A team lead sees their own team and their own team group, not the rest of the event.
How access is controlled
- Four roles plus organizer level: an administrator can be set at the organizer and thereby have access across all your events.
- The team lead sees only their own: the team lead role follows the team, so the access disappears by itself when the person is no longer on the team.
- You decide how far they may go: settings decide whether team leads may remove members, export data, send SMS and see internal notes.
- Roles are changed only by super administrators: an event administrator cannot give themselves or others more rights.
- Visibility per field: every field in the registration has its own visibility, for example administrators only.
- Export can be locked: pulling out crew data can be limited to administrators alone.
Where the data sits, and what happens to it afterwards
You are the data controller, we are the data processor. That puts demands both on the operation and on what the system keeps.
Data stays in the EU
Data is stored with Amazon in Frankfurt and never leaves the EU. Crewstack is developed in Denmark and operated from Denmark.
Data processing agreement
We sign a data processing agreement as part of the agreement. You are the data controller for your crew's information, we process it on your behalf.
Consent in the registration
The registration can have fields for terms, email and SMS, so the consent sits together with the registration it belongs to.
Documents are deleted automatically
Uploaded documents, for example certificates, are deleted automatically after approval or on a date you choose. They do not sit there year after year.
Activity log
Changes to crew members, teams, schedules, tickets and guest lists are logged. As an option, administrators have to state a reason for the action.
Print without phone numbers
A schedule that has to hang in a tent can be printed without phone numbers, so contact details do not end up on the notice board.
