The schedule is built once and reused next year
An event schedule is rarely ten shifts. It is hundreds of them spread across teams, days and time slots. That is why shifts are created in bulk, copied and pulled in from last year's event, instead of being typed in one at a time.
Build the plan without clicking shift by shift
The scheduler is a calendar you drag in. You can work in month, week or list view, create a whole day of shifts in one dialog, and copy a shift you have already got right. When you build next year's plan, you copy the previous one and place it on new dates.
How the plan is built
- Drag and drop: work in month, week or list view, depending on whether you are laying out a single day or the whole week.
- Many shifts at once: create a whole row of shifts in one dialog instead of one at a time, and copy a shift that already fits.
- Copy a whole schedule: pull it in from another schedule or from an earlier event at the same organizer, and place it on new dates.
- Shift grades: each shift can have a minimum and maximum number per user type, each with its own colour in the calendar.
- Shift bundles: group shifts that belong together, so they are picked and assigned as one.
- Publish when the plan is ready: the schedule can stay unpublished while you work, and is published with a message to the people it affects.
The rules apply, no matter who lays out the shifts
You set the frame once per schedule. After that the system holds it, both when the team lead assigns and when the crew picks for itself.
The frame for the individual
Minimum and maximum hours are set per user type and per schedule. A shift can carry a requirement built on an answer from the registration, so only the right people can sign up for it. Breaks between shifts are set per schedule, and double booking is blocked.
Who assigns the shifts
Per schedule you choose whether crew members may pick shifts directly, may only request them, or whether the team lead assigns them. You can also set a limit on how many people may be on the same shift.
Shift swaps between crew members
A crew member can offer their shift to others. You decide whether a swap is visible to the schedule, to the team or to the whole event, and the people affected can be notified about the offer.
The crew member's own overview
Crew members accept their shifts in the portal and have a tab with upcoming shifts. The shifts can be pulled in as a calendar subscription, so they sit in the phone's own calendar.
Attendance on the day
Attendance is registered per shift by the team lead or by the shift managers named on the individual shift. The shift report shows, among other things, who is working now.
Print and export
The schedule can be printed with or without phone numbers, depending on who is getting the paper in their hand, and the shifts can be pulled out as an Excel file.
Crewstack has no automatic assignment of shifts and no rules for recurring shifts. The plan is laid out by you, or the crew picks for itself within your frame.
