The registration is your form, not our template
Every user type gets its own form. You decide the fields, the pages, the order and what is required. The answers do not stay in the form: they can be used as requirements on shifts and shown to the scanner on site.
Ask for what you are actually going to use
A volunteer, a contractor and an artist should not answer the same questions. That is why the form is built per user type and can be split across several pages, so the registration does not become one long screen. Forms can be copied and previewed before you open.
How the form is built
- 29 field types: from plain text and dropdowns to document upload, approved by an administrator or the team lead and deleted automatically afterwards.
- Conditional fields: a field only appears when another answer makes it relevant, so nobody answers questions that do not apply to them.
- Visibility per role: a field can be visible to everyone, only to administrators, or shown in the scanner when the person is checked in.
- Several pages: split the registration into pages with their own descriptions, team choice and a confirmation at the end.
- Consent in writing: fields for terms, email and SMS, so the consent sits together with the registration.
- Copy it and see it first: a form can be cloned for the next user type or the next year and previewed before it goes live.
You decide who can register when
The registration does not have to be open to everyone at the same time. It can be opened in stages, team by team, or only for the people who were with you last year.
How you open the registration
Registration can be closed, open to everyone, by invitation only or only for last year's crew. There are three variants of the last one, so you can give your experienced crew first pick before you open more widely.
The teams invite for themselves
A team can get its own invitation link, including a link that makes the recipient a team lead. Team leads can invite last year's people back without going through the administration.
Waiting list when the team is full
When a team has reached its capacity, new registrations go on the waiting list. Administrators and team leads move people from the list into the team when a place opens up.
Withdrawal and blocking
You can turn off whether crew members may withdraw themselves. At organizer level there is a block list, so a person you do not want back cannot register again.
Payment at registration
As an option, the registration can require payment. The payment is handled through Stripe as part of the flow.
Four languages in the portal
Registration and crew portal come in Danish, English, German and Faroese, and the email templates can be written per language and per user type.
There is no CSV import of members. Last year's crew comes in through invitation links, or by the registration being opened for them first.
